Resident Vacation Scheduler

Fair, fast vacation scheduling for residency and fellowship programs

A purpose-built scheduling tool for U.S. ACGME-accredited residency and fellowship programs. Allocate vacation weeks fairly, respect religious holidays and international travel, and give residents visibility into their schedule — without spreadsheets.

Free for programs up to 5 residents. Coming to the App Store.

How it works

From program signup to a finalized vacation schedule, in three steps. No spreadsheets, no manual rounds.

Step 1

The program signs up

A program administrator (program director, coordinator, or chief resident) creates a program account, sets the academic year, and enters the resident roster. Self-service, no contracts.

Step 2

Residents submit preferences

Residents and fellows are invited via a one-time access code. They submit their requested vacation weeks, labeling religious holidays and international travel where relevant.

Step 3

The app allocates fairly

Vacation rounds run by PGY seniority. Per-level conflicts, the global cap on residents off in any one week, and religious-holiday accommodations are all enforced automatically. Tiebreakers are tracked across rounds so fairness compounds year over year.

Built for graduate medical education

The rules and constraints that real residency programs care about — without the spreadsheet hacks.

Religious holiday handling

Same-level conflicts can be bypassed for religious holidays, and the global cap relaxes when all overlapping requests are themselves religious.

International travel

Consecutive vacation weeks for international travel are kept together, so residents don't have to scatter their trips around the weekly cap.

Tiebreaker fairness

When two residents want the same week, the one with more prior tiebreaker losses wins. Fairness equalizes across the year, not just within one round.

Multi-year support

Run multiple academic years in parallel. Past schedules stay readable for residents even after a program's purchase year ends.

Resident self-view

Residents and fellows always see their own schedule on their own device, without administrator intervention.

Apple Sign In and Google Sign In

Administrators sign in with the identity provider they already use. Residents authenticate with a secure, single-use access code.

Pricing

A single one-time annual purchase per program, sized to the program's resident count. Individual residents and fellows always use the app for free.

Support & FAQ

Common questions about the app, the pricing, and how programs get started. Still have questions? Email avichai.robinson@gmail.com.

Who is this for?

Any of the 13,762 ACGME-accredited residency and fellowship programs in the United States. The app handles surgery, internal medicine, pediatrics, and subspecialty programs alike — the scheduling logic is general to GME and not tied to a specific specialty or hospital system.

Do residents pay for the app?

No. Residents and fellows always use the app for free, regardless of which tier their program is on. Only the program administrator ever sees a paywall or makes a purchase.

Is the purchase a recurring subscription?

No. Each tier is a one-time annual purchase covering one GME academic year. The program administrator decides each year whether to repurchase. Resident-side viewing of finalized schedules persists past the purchase year.

How do residents join?

Their program administrator invites them with a one-time access code unique to that resident. Vacation scheduling data is sensitive, so we don't allow open join — the program controls who has access.

Does my program need a contract with you?

No. Any qualifying program can sign up directly from the app or by contacting us. There's no pre-approval, no contract, and no minimum commitment.

How do I get started?

Email avichai.robinson@gmail.com for early access while the iOS app completes App Store review. Once the app is live, program administrators will be able to sign up directly from the App Store.
