Privacy Policy

Resident Vacation Scheduler ("the App") is operated for use by U.S. graduate medical education (GME) residency and fellowship programs. This policy explains what information is collected and how it is used.

Information We Collect

• Sign-in identifiers (administrators): When a program administrator signs in with Apple or Google, we receive a unique user identifier and, depending on what you authorize the provider to share, your name and email address. We do not receive or store your Apple or Google password.
• Account information (residents): Name and PGY level provided by a program administrator when your resident profile is created.
• Usage data: Vacation week preferences and labels (such as religious holiday or international travel) you submit within the App.
• Session data: A session token stored on your device to keep you signed in.

How We Use Your Information

• To authenticate you and maintain your session.
• To allocate vacation weeks fairly according to your program's scheduling rules.
• To display your schedule and submitted preferences within the App.
• To allow program administrators to manage the residency schedule.

Data Sharing and Service Providers

Your information is not sold or shared with advertisers or other third parties for marketing purposes. Data is only accessible to you and your program's administrators. We use the following service providers strictly to operate the App: Render (API hosting), Neon (PostgreSQL database hosting), Cloudflare (web hosting for this site), Apple Sign In, and Google Sign In. These providers process data on our behalf under their own privacy terms.

Data Storage

All data is transmitted over HTTPS and stored on secure servers. Session tokens are stored locally on your device using encrypted storage and are never transmitted in plain text.

Data Retention and Deletion

We retain your data while your account is active. You can delete your account and associated data at any time from within the App, or by emailing us at the address below. Program administrators may also delete resident profiles. Upon deletion, your record and submissions are removed from our active database.

Children's Privacy

The App is intended for residents, fellows, and program administrators, who are adults. We do not knowingly collect data from children under 13.

Changes to This Policy

We may update this policy from time to time. Material changes will be reflected in the "Last updated" date above.
